This Privacy Policy explains what personal information we collect, how we use it, how we store and protect it, and what rights you have in relation to your information.
This policy applies to all personal information collected through our website (ssssupport.com.au), our NDIS support services, our private tutoring services, and any other interactions you have with SSS Support.
We are committed to complying with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), as well as our obligations as a registered NDIS provider under the NDIS Act 2013, the NDIS Code of Conduct, and the NDIS Practice Standards.
What Personal Information We Collect
The personal information we collect depends on how you interact with us. This may include:
Contact details, including your name, address, phone number and email address.
For NDIS participants, information relevant to your support needs, including your NDIS number, plan details, support goals, emergency contacts, and information shared by your support coordinator, plan manager or allied health team.
For private tutoring clients, information about the student, including year level, subjects of interest, learning needs, and parent or guardian contact details.
Payment and billing information relevant to NDIS-funded or privately arranged services.
Information you provide when contacting us through our website, by phone, or by email.
General website browsing data, which does not personally identify you unless you have separately provided contact details.
Sensitive Information
Some of the information we collect, particularly health and disability-related information about NDIS participants, is classified as “sensitive information” under the Privacy Act and is subject to a higher standard of care. We only collect sensitive information where it is reasonably necessary for delivering your support, and only with your consent or the consent of someone authorised to act on your behalf. We do not use or disclose sensitive information for any purpose beyond what it was collected for, unless you have consented, or we are required to by law.
How We Collect Your Information
We collect personal information directly from you, or from a person authorised to act on your behalf, such as a parent, guardian, support coordinator or plan manager. We may also collect information from third parties where reasonably necessary to deliver your support, such as from allied health professionals, other service providers involved in your care, or the NDIS myplace provider portal, always with appropriate authority to do so.
Anonymity and Pseudonyms
Where it is lawful and practicable, you may interact with us anonymously or using a pseudonym, for example when making a general enquiry. However, in most cases we will need your name and contact details to provide NDIS or tutoring services, process payments, or meet our regulatory obligations, and we will let you know if remaining anonymous isn’t possible in a given situation.
How We Use Your Information
We use your personal information to:
Provide, coordinate and improve the disability support and tutoring services you have engaged us for.
Communicate with you about your services, including scheduling, updates and general correspondence.
Meet our legal and regulatory obligations, including those under the NDIS Practice Standards, the NDIS Code of Conduct, and our reporting obligations to the NDIS Quality and Safeguards Commission.
Process payments and manage billing, whether through NDIS funding arrangements or private invoicing.
Respond to enquiries, feedback or complaints.
Where relevant and with your consent, communicate with other providers, support coordinators or allied health professionals involved in your care.
We do not use your personal information for direct marketing without your consent, and you may opt out of any marketing communication at any time.
How We Store and Protect Your Information
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. This includes:
Storing digital records securely using access-controlled systems, including Google Drive and our operational software platforms.
Limiting access to personal information to staff and directors who need it to perform their role.
Following our internal Information Management Policy, which governs how records are created, stored, accessed and retained.
Taking appropriate steps to securely dispose of information when it is no longer required, in line with our record-keeping obligations under the NDIS Act.
Some of the platforms we use to operate our business may store data on servers located outside Australia. Where this occurs, we take reasonable steps to ensure any overseas storage still meets appropriate privacy and security standards.
While we take reasonable precautions to protect your information, no method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.
If a Privacy Breach Occurs
If we become aware of a data breach that is likely to result in serious harm to you, we will act promptly to contain and assess the breach, and notify you and the Office of the Australian Information Commissioner where required under the Notifiable Data Breaches scheme. Our internal Incident Management Policy sets out how we respond to and report on privacy and data incidents.
Who We May Share Your Information With
We only share your personal information where necessary and appropriate, including with:
Other professionals directly involved in your support, such as support coordinators, plan managers, allied health providers or medical practitioners, where you have consented or where it is necessary to deliver your support safely.
The NDIS Quality and Safeguards Commission, where required by law or under our conditions of registration, including for incident reporting.
Service providers who assist us in operating our business, such as software and hosting providers, always under appropriate confidentiality arrangements.
Government or regulatory bodies, where required by law.
We do not sell your personal information to third parties, and we do not share your information for the marketing purposes of other organisations.

You have the right to request access to the personal information we hold about you, and to request that we correct any information that is inaccurate, out of date or incomplete. To make a request, please contact us using the details below. We will respond within a reasonable timeframe in accordance with our obligations under the Privacy Act.
In some circumstances, we may not be able to provide access to certain information, for example if doing so would unreasonably impact the privacy of another person, or if we are otherwise permitted or required by law to withhold it. If this is the case, we will explain our reasons to you.
